A site manager needs equipment or supplies and finds the item online. Buying it properly would mean onboarding a supplier, requesting quotes, tracking delivery, then chasing the invoice. More often than not, the purchase is made directly, outside any tracking.
With Task FM
The requester pastes the item URL and quantity, adds a comment (colour, size, exact reference) and picks the delivery address from your organisation's address book.
The Task FM purchasing team is alerted when the order is created. The quote arrives within 24 hours for Express, 5 days for Standard or 10 days for Economy, in working days, with a visible countdown.
Once the quote is approved, Task FM places the order and arranges delivery. Parcel-style tracking shows the status and next step, with a timestamped history.
The requester confirms delivery. The PDF purchase order, quote, invoice and delivery note are attached to the order and filed in the document library.
The notice deadline is calculated, alerts go out 6, 3 and 1 month ahead, and renewals stay on record.
