Use case · Stock & Equipment

Knowing who has which equipment, and since when

Every assignment and every return of equipment is dated and signed, whether an employee is joining or leaving.

Involves
  • Facility manager
  • Executive team

What changes, in practice.

Today, without Task FM

An employee leaves the company: did they have a laptop, a phone, a tablet? The spreadsheet says one thing, IT says another, and a leased laptop reaches the end of its contract without anyone having been warned.

With Task FM

  • An immediate answer to "who has what?", without comparing two files.
  • A history per item and per employee that is never overwritten.
  • Active employees still without equipment and leased items visible at a glance.
  1. 1

    Register the equipment

One record per item: name, type, in-service date, photo. For leased equipment, the lessor and the contract end date are mandatory.

  2. 2

    Assign it to an employee

From the employee's record or the equipment's, you assign the item. The assignment is timestamped, and Task FM refuses to give the same item twice to the same person.

  3. 3

    Track it at all times

The list, filterable by name or type, shows who holds each item. Every movement appears in the history, with its author.

  4. 4

    Take it back on departure

You mark the employee as left and take back their equipment: the return is recorded and the item can be reassigned. Equipment can't be assigned to an employee who has left.
